Billing Sync automatically updates the quantity on your customers' ConnectWise agreement additions based on their usage in usecure. This means you no longer need to update agreement quantities by hand before each invoice run.
Note: Billing Sync is a Preview feature and is currently available for ConnectWise only. Check that the sync works as expected for each customer before relying on it for client invoicing.
In this article you will learn:
How Billing Sync works
For each customer, you link their services in usecure to an agreement and its additions in ConnectWise. Once a service is enabled:
The quantity on the linked addition is set to the customer's highest confirmed active-user count for the current billing period.
The quantity updates automatically whenever the customer's usage changes.
Only the quantity is updated. Your price per user stays as it's set in ConnectWise.
Note: usecure's billing period may not match your own ConnectWise invoice dates. If you're invoicing close to the end of a billing period, check your usage reports before sending the invoice.
Setting up Billing Sync for a customer
Before you start, make sure your ConnectWise integration is set up and Enable PSA Tools is turned on. Find out how to set up your ConnectWise integration.
Note: Billing Sync needs extra ConnectWise permissions. The security role used by the integration must have Finance › Agreements set to All for both Edit and Inquire. See the required ConnectWise permissions.
Go to Settings > PSA Tools and open the Customer Sync tab.
Scroll down to the Billing Sync (Preview) section. Each customer is listed with the services they have in usecure.
Next to Agreement ID, search by agreement or client name and click Find to choose the customer's ConnectWise agreement.
For each service you want to sync, click Find next to Addition/Line ID and choose the agreement addition to update.
Turn on the Enabled toggle for that service.
Click Save.
Tip: Click Sync now to update the addition straight away, rather than waiting for the next usage change. You can then check the quantity in ConnectWise to confirm everything is linked correctly.
Tip: Create the agreement and addition in ConnectWise before setting up Billing Sync, so they're available to choose.
Turning off Billing Sync
To stop syncing a service, turn off its Enabled toggle in the Billing Sync (Preview) section and click Save. This only stops Billing Sync for that service. The rest of your PSA integration keeps working.
